Office Administrator

We are looking for an ambitious Office Administrator to provide us with general office management and secretarial work.

 

You will be part of a young innovative team of professionals working to maintain order and transparency for our clients’ finances.

 

Responsibilities:

– Greeting and servicing office visitors;

– Maintaining office phone calls and generic email correspondence in a timely and polite manner;

– Managing Office Stationery, Grocery, and similar requirements;

– Ensuring the office premises is up to standard;

– Handling of office Mail;

– Coordinating with office IT Personnel, Housekeeper, and other servicing personnel;

– Maintenance of Office Petty Cash;

– Organizing meetings and office scheduling services;

– Servicing of Personal Assistance services to company personnel;

– Processing of invoices and Reimbursements including acquiring approvals and processing payments;

– Liaise with facility management vendors, including cleaning, catering and security services including management of contracts and price negotiations;

– Assist colleagues whenever necessary on administrative duties;

– Update calendars and schedule meetings;

– Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges);

– Maintenance of Company general email addresses;

– Assist in administrative spreadsheet reconciliations including Timesheets, Cost Sheets and other items.

 

Qualifications:

– Qualifications – Diploma or A-Level Standards of education;

– A minimum experience of 1 year in a similar role will be considered as an asset;

– Great attention to detail;

– Excellent knowledge of MS Office;

– Deadline-oriented;

– Strong written and verbal communication skills;

– Strong organizational skills.
