The Senior HR Executive is responsible for guiding and providing comprehensive HR support across the different stages of the employee lifecycle, with a particular focus on induction and onboarding, payroll, HR administration and day‑to‑day employee relations. Working with other HR team members, the role ensures HR delivers support to the Company, HR processes are accurate, compliant and aligned with company policies and legal requirements. Senior HR Executive Key Responsibilities
- Maintain and update employee records (HRIS, employee files, employment contracts, certificates, benefits etc.) in line with GDPR requirements.
- Providing weekly, monthly, bi-annual and annual reports covering employee timesheet entries as per company procedures and metrics required.
- Second the HR Executive when required to carry out monthly payroll, ensuring accuracy and timely processing.
- Provide support across recruitment activities, including drafting and posting job advertisements, screening candidates, coordinating interviews, liaising with hiring managers, and assisting with onboarding to ensure a smooth and efficient process. Assist with the preparation of employment contracts, letters, and
- HR documentation, ensuring compliance with labour laws and internal policies.
- Assist in reviewing, updating and implementing HR policies, procedures, and HR initiatives (performance reviews, engagement, wellbeing, training).
- Act as a first point of contact for employees on HR and payroll queries.
- Provide support in the design and coordination of training plans, assisting across the lifecycle of development initiatives; from needs analysis and planning to execution and evaluation, while ensuring alignment with organisational objectives and contributing to employee growth and capability building.
- Liaise with the relevant entities to apply for IIS funding schemes and CPE/CPA accreditation;
- Onboard the Health and Safety process fully including ensuring all H&S equipment is up-to-date and maintained regularly; the H&S policy is update to date and in line with current regulations.
- Look into OHSA legislation and communicate required updates.
- Support disciplinary and grievance processes by preparing documentation and scheduling meetings.
- Generate HR reports and metrics (billing, headcount, turnover, leave, etc.) to support management decision‑making.
- Contribute to HR improvement initiatives, including digital transformation projects and operational enhancements.
- Ensure employees are adhering to company processes, policies and procedures.
- Suggest ideas and ways to improve the HR function overall.
Requirements: Education & Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field, with a Master’s degree considered advantageous. Completion of an Employment Law course is considered an asset.
- Excellent command of English is required to succeed in this role. The ability to communicate in Maltese would be an asset.
Experience - Minimum of 3 years’ experience in an HR role, preferably in a generalist or senior HR executive capacity.
- Proven experience handling or coordinating payroll processes.
Knowledge & Skills
- Good knowledge of HR practices and Maltese employment legislation.
- Strong understanding of payroll principles and related compliance.
- Proficiency in MS Office especially Excel;
- Experience with HRIS and/or payroll software
- Excellent attention to detail and high level of accuracy.
- Strong communication and interpersonal skills, with a service‑oriented approach.
- Ability to handle confidential information with discretion.
- Strong organizational and time‑management skills, able to manage multiple priorities.
